The challenge

The sales team visits colleges and universities across the UK. To make each trip worthwhile, reps would book one appointment, then try to fill the rest of the trip with nearby customers. That meant:

  • Searching HubSpot for customers in the area
  • Cross-referencing every customer on Google Maps
  • Copying names and email addresses into Outlook one by one
  • Writing the emails for each campaign by hand

A single workflow that connects the tools the team already uses.

Live CRM data on a map

Every customer in HubSpot is plotted by address, showing deal value, open opportunities and last activity. Data is read-only, so nothing in the CRM changes.

Route and vicinity planning

Pick a starting appointment, see every customer nearby and plan the route.

Campaign builder

Select the contacts, pick a template made for that type of customer and personalise each email, including a custom signature.

Straight to drafts

Emails are created in Outlook drafts. Nothing sends automatically, so every email is checked before it goes out.
